Merrifield Panthers Junior Basketball Club – Terms and Conditions

Welcome to Merrifield Panthers Junior Basketball Club! We are excited to have your child as part of our team. Please read the following Terms and Conditions carefully, as they outline the expectations, responsibilities, and commitments of players, coaches, administrators, parents/guardians, and spectators.

1. Membership & Registration
1.1. Membership is open to children aged 5-17 years who meet the club’s eligibility criteria.
1.2. All players must complete registration, including fee payment, before participating in training or matches. Players must be registered with Basketball Victoria before taking the court.
1.3. Fees must be paid in full by the due date, or the player may be suspended from training and matches.
1.4. Medical conditions, allergies, or special requirements must be disclosed during registration.
1.5. Parents, team managers, and coaches must install Stack Team App for club communications.
1.6. Parents, team managers, and coaches must install MyHoops to access game schedules and confirm player availability.
1.7. The competition in which we play is created, managed and governed by the Craigieburn Basketball Association. Any complaints, claims or queries towards the Craigieburn Basketball Association must be directed through the Merrifield Panthers Basketball Committee.

2. Merrifield Panthers Basketball Code of Conduct
2.1. Players
• Show respect to coaches, teammates, referees, and opponents at all times.
• Attend training and matches regularly and arrive on time.
• Follow coaches’ instructions and club rules.
• Unsportsmanlike behavior, bullying, or inappropriate language is not tolerated.
• Wear the correct club uniform, appropriate footwear, and safety gear.
• Compression garments under uniforms must be skintight and white or black in color.
• Adhere to Basketball Victoria's Player Code of Conduct (provided at the end of this document).

2.2. Parents/Guardians
• Ensure punctual attendance at training and matches.
• Encourage good sportsmanship and positive behavior.
• Do not coach or instruct from the sidelines unless requested by the coach.
• Direct concerns first to the team manager, then to the club committee if unresolved.
• Collect children promptly after training or matches.
• Arrange proper supervision for children at training, games, and events.
• Participate in scoring duties based on a roster managed by the Team Manager.
• Assist in club duties such as fundraising or event organization.
• Communicate any medical conditions to the Team Manager promptly.
• Adhere to Basketball Victoria's Parent Code of Conduct (provided at the end of this document).

2.3. Administrators
• Involve others in planning and decision-making.
• Foster inclusivity and encourage participation.
• Provide opportunities for coaching, refereeing, and administration.
• Ensure safe supervision, facilities, and training.
• Focus on enjoyment and development over winning.
• Promote high standards in coaching and officiating.
• Enforce the Code of Conduct and set a positive example.
• Maintain fairness, accountability, and respect for all.
• Maintain facilities responsibly.
• Adhere to Basketball Victoria's Administrator Code of Conduct.

2.4. Coaches
• Encourage fun, sportsmanship, and positive reinforcement.
• Make reasonable demands based on players’ age and skill level.
• Teach respect for rules, opponents, and referees.
• Ensure safety through proper training and equipment use.
• Maintain professionalism and appropriate physical contact.
• Act as role models and continuously update coaching knowledge.
• Adhere to Basketball Victoria's Coach Code of Conduct.

2.5. Spectators
• Applaud good play and encourage all players.
• Respect referees and accept their decisions.
• Avoid abusive or offensive language and behavior.
• Do not engage in or encourage violence.
• Promote fair play and good sportsmanship.
• Supervise children and ensure they do not disrupt games.
• Respect facilities and use them responsibly.
• Adhere to Basketball Victoria's Spectator Code of Conduct.

3. Training & Match Participation
3.1. Players must meet the minimum training attendance percentage (as set by the club) for game eligibility.
3.2. Parents/guardians must inform the Team Manager in advance if a player cannot attend training or matches.
3.3. Game selection is based on attendance, effort, attitude, and skill development.
3.4. The coach has the final say on playing time and team selection. Concerns should be raised with the Team Manager before escalating to the club committee.

4. Safety & Welfare
4.1. Player safety is a priority, and injuries must be reported to the coach immediately.
4.2. Parents/guardians must ensure their child is fit for basketball activities.
4.3. Players must follow all safety instructions.
4.4. The club is not responsible for injuries but will provide first aid when necessary and possible.
4.5. Players who use an ice pack during a game cannot return to play.
4.6. Players with head injuries or suspected concussions must be immediately removed and cannot return for the remainder of the game or training session.

5. Fees & Refund Policy
5.1. Membership fees cover training, matches, and administration costs.
5.2. Players must purchase a club singlet within 24 hours of registration. In lieu of purchasing club uniform shorts, players can purchase plain black sports shorts that do not have pockets or visible branding.
5.3. Players must have full club uniform by Round 6 or will not be allowed to play without prior committee approval.
5.4. Refunds are only considered in exceptional cases at the committee’s discretion.
5.5. No mid-season refunds unless for medical reasons, with supporting documentation.

6. Photography & Media Consent
6.1. The club may take photos/videos during events for promotional use, following Basketball Victoria’s guidelines.
6.2. Parents who do not consent must inform the club in writing and manage the situation respectfully.

7. Discipline & Suspension
7.1. Players who violate the Code of Conduct may face suspension or expulsion.
7.2. Parents/guardians displaying inappropriate behavior may be asked to leave venues; their child’s membership may be reviewed in extreme cases.
7.3. Disputes will be handled by the club committee, whose decision is final.

8. Liability Disclaimer
8.1. Basketball involves inherent risks, and the club takes reasonable precautions for safety.
8.2. The club, coaches, and officials are not liable for injuries, damages, or losses during games, training, or events.
8.3. Parents/guardians accept responsibility for personal property lost or damaged at club activities.

By registering with Merrifield Panthers Junior Basketball Club, parents/guardians and players acknowledge they have read, understood, and agree to these Terms and Conditions.
